If the invitation is sent by e-mail, don't hesitate to include explicit attachments: a description of the problem, where the fault has been identified, photos, etc.

To make the presentation easier, you can either stand up to have a better view of the audience, or remain seated and position yourself in the center of the table, so you always have an overview.

It's all about remaining natural, adjusting the sound and tone...
