5. Mistakes to avoid

Avoid sorting schemes that go beyond three levels: this is not very intuitive and, what's more, relatively time-consuming because, depending on the solution, it will involve more clicks for the same actions, and this is an important factor to consider.

If you use hashtags or folksonomies, avoid multiplying them: a hashtag should simply select keywords within a document. They provide complementary, transversal navigation keys between documents. To multiply them is to ensure their ineffectiveness.

Don't multiply the number of documents you collect and capitalize on until you've ensured the stability and efficiency of your filing plan and/or indexing keys: some monitoring solutions are not very user-friendly, and don't handle processing, moving and re-indexing documents in batches very well.
