To avoid any subsequent disputes, it is important to be clear about the terms of purchase (deadline, price, method and conditions of payment, etc.) and the characteristics of the product ordered (dimensions, certification, inspection, etc.), from the very first order and for all subsequent orders.
This information can be included in the order itself, in a contract, or in a specification.
Preventive rather than corrective reminders should also be used, to avoid problems with the availability of purchased products. Dunning methods can vary (verbal, written, visits to suppliers).
